Terms of Service

Welcome to CivicVoice. These Terms of Service (“Terms”) govern your use of the CivicVoice platform (“Platform”), operated by CivicVoice LLC, a Texas Limited Liability Company (“CivicVoice,” “we,” “us,” or “our”).

By creating an account or using CivicVoice, you agree to these Terms. If you do not agree, do not use the Platform.


1. About CivicVoice

CivicVoice is a civic engagement platform that connects citizens with their elected officials. Citizens can send messages to officials, participate in legislation polls, and stay informed about government activity. Elected officials receive AI-powered dashboards with constituent sentiment analysis and message digests.

CivicVoice is free for citizens. Always.

2. Eligibility

To use CivicVoice, you must:

  • Be at least 18 years of age
  • Be a resident of the United States
  • Provide accurate registration information
  • Maintain only one account per person

By creating an account, you represent and warrant that you meet all eligibility requirements.

3. Account Registration

To register, you must provide:

  • Your full name
  • A valid email address
  • A password
  • Your home address — required for accurate district verification

Your address is used to verify your congressional district and connect you with the officials who represent you. You are responsible for keeping your account information accurate and your password secure.

4. District Verification and 6-Month Lock-In

CivicVoice verifies your congressional district based on the address you provide. To maintain the integrity of constituent communications and prevent abuse:

  • Your verified district is locked for 6 months from the date of verification
  • You may not change your address or switch districts more frequently than once every 6 months
  • This policy ensures officials receive authentic communications from verified constituents

If you move to a new address, you may request a district change after the 6-month period has elapsed.

5. Acceptable Use

You agree to use CivicVoice for its intended purpose: genuine civic engagement with your elected officials. You agree not to:

  • Impersonate any person or misrepresent your identity or district
  • Submit false, misleading, or fraudulent information
  • Send threatening, harassing, abusive, or obscene messages
  • Use the Platform for commercial solicitation or spam
  • Attempt to circumvent district verification or address restrictions
  • Use automated tools, bots, or scripts to interact with the Platform
  • Interfere with the Platform's operation or security
  • Violate any applicable law or regulation

We reserve the right to suspend or terminate accounts that violate these Terms.

6. AI Processing Disclosure

CivicVoice uses artificial intelligence to enhance civic engagement:

  • Sentiment Analysis: Messages sent through the Platform are processed by AI to analyze constituent sentiment on issues and topics. This helps officials understand what their district cares about.
  • Digest Summaries: AI generates summary digests of constituent messages for officials, grouping communications by topic and sentiment.
  • Third-Party AI: We use OpenAI's technology to power these AI features. Message content is sent to OpenAI for processing.

What this means for you:

  • Your messages are read and analyzed by AI systems in addition to being delivered to officials
  • AI-generated summaries and sentiment data are provided to officials alongside (not instead of) your original messages
  • We do not use AI to alter, censor, or modify the content of your messages

By using the Platform, you consent to this AI processing of your messages.

7. Privacy-by-Design

CivicVoice is built on a foundational privacy commitment:

  • We will never sell, share, or monetize your personal data
  • We collect only what is necessary to verify your identity and connect you with your officials
  • Your address is used for district verification — it is never shared with officials or third parties

8. User Content

Your messages belong to you. When you send a message through CivicVoice:

  • You retain ownership of all content you create
  • You grant CivicVoice a limited license to transmit, store, and process your messages for the purpose of delivering them to officials and generating sentiment analysis
  • You understand that messages are delivered to elected officials and may become part of public records depending on applicable government transparency laws
  • You are solely responsible for the content of your messages

9. Platform Content and Intellectual Property

The CivicVoice platform, including its design, code, logos, and branding, is owned by CivicVoice LLC and protected by intellectual property laws. You may not:

  • Copy, modify, or distribute any part of the Platform
  • Use the CivicVoice name, logo, or branding without written permission
  • Reverse-engineer or attempt to extract the Platform's source code

Legislation data displayed on the Platform is sourced from public government records and is not owned by CivicVoice.

10. Official Accounts and Subscriptions

Elected officials access CivicVoice through paid subscription tiers. Official accounts are subject to additional terms governing their use of constituent data and the Platform's analytics tools. Citizens are never charged for using CivicVoice.

11. Disclaimer of Warranties

CivicVoice is provided “as is” and “as available.”

We make no warranties, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee that the Platform will be uninterrupted, error-free, or secure; that messages will be read or acted upon by officials; or that AI-generated analysis will be perfectly accurate.

CivicVoice is a communication platform — we facilitate delivery but cannot guarantee official response or action.

12. Limitation of Liability

To the maximum extent permitted by law, CivicVoice LLC, its members, officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, goodwill, or other intangible losses, arising from:

  • Your use of or inability to use the Platform
  • Any messages sent or received through the Platform
  • Unauthorized access to your account
  • AI processing errors or inaccuracies
  • Any third-party conduct on the Platform

Our total liability for any claim arising from these Terms or your use of the Platform shall not exceed $100.

13. Indemnification

You agree to indemnify, defend, and hold harmless CivicVoice LLC and its members, officers, employees, and affiliates from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from your use of the Platform or violation of these Terms.

14. Termination

By you: You may delete your account at any time through your account settings. Upon deletion, we will remove your personal data in accordance with our Privacy Policy.

By us: We may suspend or terminate your account if you violate these Terms, engage in abusive behavior, or if we reasonably believe your account poses a risk to the Platform or its users. We will attempt to notify you before termination when practicable.

15. Governing Law and Disputes

These Terms are governed by the laws of the State of Texas, without regard to its conflict of law principles. Any disputes arising from these Terms or your use of the Platform shall be resolved in the state or federal courts located in Texas. You consent to the personal jurisdiction of these courts.

16. Changes to These Terms

We may update these Terms from time to time. When we make material changes:

  • We will update the “Effective Date” at the top of this page
  • We will notify you by email or through a prominent notice on the Platform
  • Continued use of the Platform after changes take effect constitutes acceptance of the updated Terms

We encourage you to review these Terms periodically.

17. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

18. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and CivicVoice regarding your use of the Platform.
